Maine Audubon is a nonprofit conservation organization based in Falmouth, Maine, whose mission is to conserve wildlife and wildlife habitat by engaging people in conservation, education, and action.
Purpose of the position:
The Grants Manager serves to manage our grants program and assist with other duties as described below. Reporting to the Directors of Conservation and Education, and participating in Development Department meetings, s/he administers a program of grantmaking to foundations, corporations, government agencies, and key individual prospects.
Overview of the position:
Maine Audubon has a productive grants program that has demonstrated success at raising $500,000 dollars per year from public and private grantors. Some of our statewide programs are well-funded and have broad bases of support; others have only begun to explore their potential base of support and leave much room for expanding their funding. Therefore, Maine Audubon is looking for a candidate who can sustain and strengthen our current grantmaking program, but who also can expand our grantor base.
Primary responsibilities are to:
- Maintain the support of existing grantors.
- Identify and seek new sources of grant funding.
- Manage the coordination for stewarding and cultivating foundation relationships between proposals.
- Manage the coordination and compilation of grant inquiries and applications.
- Oversee the timely completion of project and financial reports to funders.
- Maintain all records (digital and paper) related to grants.
The Grants Manager tracks and manages all grant deadlines, grant awards and reporting schedules, leads the preparation and submission of grant reports, and coordinates grant financial reports with program directors and the Finance Director. Other key duties include managing relationships with current and prospective foundation, government, and corporate grantors, as well as identifying and cultivating new sources of funding in coordination with the Director of Development.
Position responsibilities will include:
- Work with staff to prepare and submit grant-related materials for foundation, government, and corporate donors.
- Revise and customize existing materials for new audiences.
- Review, proof-read, and edit drafts completed by others.
- Assemble support materials and arrange delivery.
- Help develop a strategy to maximize potential funding opportunities by prospecting foundation, government, and corporate funders for all Maine Audubon activities and developing new opportunities for programs that are underfunded.
- Work closely with program staff to monitor all grant-related deadlines and to ensure accountability and compliance with all grantor processes and purposes.
- Draft acknowledgement letters and facilitate submission of requisite materials for foundation, government, and corporate grant awards.
- Coordinate and represent Maine Audubon at project site visits with funder representatives when necessary.
- Communicate by phone, mail, and email with potential funders, including but not limited to: responding to requests for information, submitting letters of inquiry, thanking funders for grants, and following up with declined proposals.
- Track and maintain and update grants information in Raiser’s Edge database.
- Ensure that special grantor requirements are achieved (e.g., publicity requirements).
- Maintain positive relationships with all funders.
- Maintain a digital library of common proposal attachments and work with Finance team and database administrator to develop/maintain tools to answer commonly asked questions (e.g., lists of current funders, budget/financial categories, etc.).
- Assist and support Director of Development with strategizing and conducting grantor cultivation.
- Other Duties As Needed
- Write narratives about grant-funded programs for use by the Development and Communications teams.
- Research and prepare proposals for capital campaigns as they are developed.
- Assist with events.
- Assist other staff as needed with editing.
- Knowledgeably represent Maine Audubon to funders and the general public.
- Other duties as assigned.
Internal: Reports to Directors of Conservation and Education as immediate supervisors. Active member of Development Team. Extensive relationships with other program and administrative staff.
External: Strong relationships with corporate, government, and foundation representatives.
Standard office equipment such as computer, copier, phone, etc.
Education & Experience
- Bachelor’s degree required.
- Proficiency in Microsoft Office; strong computer and internet research skills.
- Proven ability to work both independently and as part of a team.
- Familiarity with conservation and/or education issues, project design, and Maine Audubon’s mission a plus.
- Minimum of two years experience in fundraising and/or development recommended.
Skills & Abilities
- Superior research, writing, and editing skills a must.
- Aptitude for high volume production writing (often repurposing existing materials rather than starting from a blank page).
- Proficiency with using databases, preferably Raiser’s Edge.
- Strong organizational and time management skills—ability to work on multiple projects concurrently, effectively managing and prioritizing work and tracking and meeting deadlines.
- Meticulous attention to detail.
- Diligent, personable, and able to work with variety of people and work styles.
- Strong analytical and problem-solving skills.
- A strong solution-orientation and flexibility in adapting to changing circumstances.
- An ability to derive personal satisfaction from working behind the scenes to support the efforts of other team members in fundraising and communications.
- Minimum physical requirements, extended desk and typing time.
- Some travel may be required.
